Admission Process


To begin with the admission process, please complete the Online Application Form. Once the form has been completed, you will receive an automated response confirming receipt of your application.
Once your application has been processed, if a place is available, you will be contacted and your child will be invited into the school for an assessment.
Pre-Primary and KG 1 – All applicants will be assessed to ensure that they meet our minimum requirements in terms of being able to access the curriculum.

A. For students coming from Emirates other than Dubai:

The Transfer/ School Leaving Certificate should be attested by the Ministry of Education of the concerned Emirate.

B. For students coming from Oman:

F. For students coming from countries other than USA, UK, Australia, Canada, Europe and New Zealand:

The Transfer/ School Leaving Certificate should be attested by the District Educational Officer/ Ministry of Education of the country of migration

Please note that the discontinuation period between the date of leaving and the date of joining should not be more than TWO WEEKS.

The school’s academic year is from April to March.  All admissions from KG1 and above done after 15th June require a studying / discontinued Transfer Certificate which is valid for only 20 days from the last date of attendance. All attestations remain the same as above.

Step 4: Once parents submit all the documents and pay the registration fee of AED 1,500 (non-refundable, non-transferrable, non-adjustable) and the first month’s tuition fees, the seat will be confirmed for the student.  All documents will be sent to the Ministry of Education for approval, after which the admission will be regularized.

Admission Procedure
Parents who wish to admit their ward to our school should apply in a prescribed form for registration uploaded in website. Registration procedure starts from the month of November.
Interviews will be arranged according to first come first basis and those who qualified will be intimated to complete the admission procedure by submitting the required documents, along with first installment fees. If not submitted chance will be given to the next applicant.
If the number of applicant for grades KG II to Grade IV are more than the seats available, written test will be conducted and students will be selected on merit basis for admission.

If a student applying for admission to a school has attended any other school, an authenticated copy of the Transfer Certificate in the format given from his last school must be produced before his name can be entered in the Admission register ( E-SIS Programme).
In no case shall a student be admitted into a class higher than that for which he is entitled according to the Transfer Certificate.
Student who is expelled from any School or is debarred from appearing in the examination shall not be admitted to any class in the School
No student shall be admitted or promoted to any subsequent higher class unless he has completed the regular course of study of the class to which he was admitted at the beginning of the academic session and has passed the examination at the end of the concerned academic session qualifying him for promotion to the next higher class.

Once you complete online registration, you will receive an acknowledgement message with Login details.
Upload all required documents at the time of registration.

If your documents are found in order after verification, only then you will receive a registration slip by mail.
Step 4:

For KG1 & Grade1 bring a copy of the registration slip (validation slip) in A4 SIZE PAPER received from school.
Without school stamp the registration stands cancelled.
Parents should use Gate No. 5 located at the rear end of the school.
Parents who have already registered under the Sibling Category can use the same Registration Number for Open Category also. Please take the print out of the same Registration Slip for validation and drop it in the draw box.

Step 5:

For KG-1 & Grade 1
There will be a draw of lots on the below mentioned dates in Abu Dhabi Indian School’s Auditorium. (Parents should use Gate No. 5 located at the rear end of the school.)
After the draw, if your child is selected, Tuition fees of Dhs.500/- has to be paid by Cheque or Demand Draft in favour of ABU DHABI INDIAN SCHOOL.
Parent should be present in the auditorium at the time of draw. If the parent is not available when the child’s name is announced in the draw, then the admission stands cancelled.
Bring a copy of the registration slip. (No photocopying will be done by the school office)
Any incomplete application form/underage cases/false information (suppression of relevant facts) will nullify the admission even if the candidate is chosen in the lot. No correspondence in this regard will be entertained.

Withdrawals

Existing students can be withdrawn from the school by personally visiting the Registrar’s office (Oud Metha) and filling in the Transfer Certificate application form, payment of TC charges and by clearing all dues until the month in which the TC has been applied.
Withdrawal application will be considered complete only after submission of the TC form, TC fee and clearing all dues. No e-mail or any other communication will hold good for any withdrawal requests.
Transfer Certificate processing requires 8 – 10 working days. The TC request needs to be submitted on any working day before 4pm (1600hrs).
Transfer Certificates applied after the end of an Academic year will be issues as per the scheduled mentioned by the school at the time of application. A Provisional TC may be issues to such cases on request.
Incase a child remains absent extensively without any intimation or continues to remain absent beyond the approved leave period. Such names may get struck off from the school records with the approvals of either Management/Section Heads/ Supervisors/Teachers.
School Management reserves the right to hold the TC for non-compliance of the above points.

Attestations & Letters

Photocopies along with the original certificates may be submitted in the Registrar’s Office. After verification, the original certificates shall be returned to parent / student immediately.

KG1 Admissions
Children seeking admission to KG 1 class should have completed 4 (four) years of age as of the 31st July of the year in which they wish to apply for admission.
Parents need to register online and generate the coupon themselves. The generated coupon has to be produced at the school counter. After verification, parents can drop one part of the coupons in the Drop Box. Registration is considered complete only after dropping of the coupon in the correct box.
Seats are allotted based on draw of lots. A draw is held to allot seats as per mentioned vacancies. Lots will be drawn in the presence of parents. Two separate draws will be held for boys and girls.
The Draw list will be displayed on the school notice board and mail will be sent to all parents confirming the result of the draw.

School fees are payable in advance on or before the 1st day of each calendar month.
After the expiry of the due date, a late fee of 100 fils will be charged daily.
IGCSE, AS and A Level fees must be paid on a termly basis, as follows:

In such an event, parents will have to seek re-admission for their child. All requests for re-admission in these circumstances will be considered on merit.

The school expects that all outstanding amounts due are cleared on time before the results of the annual examination are declared. It should be noted that all results in cases where fees are not paid for will remain withheld until the dues are cleared.

Admission Requirements

A child seeking admission to a particular grade must have passed the final examinations of the lower grade immediately preceding the grade to which admission is sought. Students coming from other emirates within the UAE are required to submit the original Transfer Certificate/School Leaving Certificate of the school last attended, duly attested by the Ministry of Education of that emirate.
Students coming from schools in Dubai have to apply for the Transfer Certificate from the previous school and it will be transferred online.
All admissions from KG to Grade XII done after 15th June require a studying/ discontinued T.C. which is valid for only 30 days from the last date of attendance. All attestations remain the same as above.

To simplify the admission process, Gulf Asian English School had started online registration in 2014. We follow an efficient procedure of finishing all the formalities within a single day. KG1 admissions are approved by the concerned H. M, whereas for other classes it depends upon the performance in the entrance exam.

Fresh admission for KG1 classes is usually conducted in the month of November/December and for other classes in January. Vacancies for classes other than KG1 are confirmed after analysing the re-registration data of the existing students.

Parents who want to enroll their wards in school should register the names of their ward(s) with the admission link provided in the school website.
The parents have to confirm the registration by contacting the school office in person within two days of registration. Otherwise the registration will automatically be cancelled. The school will issue a registration confirmation slip stamped and signed to the parents after scrutinizing the necessary documents.
Parents will be intimated about the time and date of admission over telephone and SMS. The parents along with their child have to report to school with necessary documents (ID card, Vaccination card, photograph, TC and achievement report (if applicable), attested birth certificate, Passport copy etc.) and required fee. Submission of documents

If the required documents are likely to be ready within a period of 15 days then the parent has to fill the undertaking form requesting the CEO / Principal for provisional admission for the child, by giving the probable date on which they would be able to submit the documents. In case it is not submitted on schedule, management has a right to take a call on the admission.
A maximum period of 15 days only will be granted for the purpose of considering provisional admission.

While submitting the filled-in Registration Form / Application Form, the parent will get the Admission Test syllabus and an Admission Card or a Provisional Admission Card in which, the date and time of the Admission Test would be mentioned.

On the Test date, the students ( along with the parents ) should come to the School, with the Admission Card and take the Test. The student should be well-prepared with the syllabus provided by us. Most of the time, result is announced on the same day itself. If the student passes the Test, Principal / Senior Vice-Principal interviews / interacts with the parents and the student.

The child should get minimum 60% marks in basic English, Mathematics, and Science.

Once the Admission is confirmed, Principal / Senior Vice-Principal / Vice-Principal / Headmistress issues the Admission Card to the particular class. Within 24 hours, fees should be paid. Admission is not guaranteed if you come on a later date. If fees is not paid within 24 hours, the seat offered to your child goes to the next one on the waiting list.

However, before paying the fees, the parents have to decide whether School Transport is required. If required, the seat-availability of it in their area should be ensured with the Transport in charge, at the Transport Department. If available, they can go to the Accounts Department ( Cash Counter ), collect the Admission Form, fill it, and pay the Admission / Tuition / Special / Transport fees.

If fees for School Transportation is also paid at the Fees Payment Counter, parents have to go back to the Transport Department, show the receipt to the Transport in charge for fixing the bus in which their child would be commuting.

Within three weeks, the parents have to submit the Original Transfer Certificate of their child ( if the child is admitted in Class II or higher classes ) from the school that he / she last studied. The Transfer Certificate should be submitted at the Administrative block ( to the Office Assistant ), in the Main School.

Transfer Certificates
 a. Students moving from a school in Dubai 
The original School Leaving Certificate has to be collected from the previous school. The parent has to come personally to school along with the original School Leaving Certificate, original Emirates ID of the student and the parent.

 b. Students moving from another Emirate in UAE
The original Transfer Certificate should be duly attested by the Ministry of Education in that emirate. The parent has to bring the original TC along with the copy of the promotion report and the original Emirates ID of the student and the parent.

 c. Students moving from India
The Transfer Certificate has to be attested by the District Education Officer of your State/ICSE/CBSE board. The same TC has to be attested in Dubai from the Indian Consulate in Dubai and the Ministry of Foreign Affairs, Dubai / Sharjah, U.A.E.

  d. Students moving from Gulf countries other than the U.A.E.
The original Transfer Certificate should  be  attested  by  the  Ministry of Education of  that country, Indian Consulate of that country, Ministry of External Affairs of that country, & UAE Consulate/Embassy located in that country.

Parent School Contract
After submitting the original TC and registering with the Emirates ID in the KHDA school system, you will have to sign the Parent School Contract online through your mobile app or can be signed electronically in school.
The signing of the Parent School Contract is only one time when the child joins the school. 
The contract will be renewed every year until he continues in the same school. If he is changing the school, a new contract will have to be signed.

Step 1: Admissions Counseling and Registration

Following a successful interaction session, the Admissions Department will contact you with an offer of admission for your child. On receipt of this offer letter, you are requested to secure your ward’s seat of admission at Ambassador School, Sharjah with the submission of all the necessary documents mentioned below and complete the payment formalities.

Parents are requested to carry valid Original Emirates ID cards for them (both the parents EID) and the applicant’s EID on the date of admission confirmation.

The admission offer, if not accepted and seat not taken for the applicant within 10 days, is considered to have lapsed the period of validity. Hence, the School reserves the right to offer this seat of admission to the next deserving applicant.

 

Step 2: Admission Documentation and Confirmation of Admission

As you accept the offer letter, the mentioned documents should be submitted at Admissions Department prior to the fee payment, to secure a seat for the child.

When the child reports to school, the parent’s login credentials are created in various School-Parent communication platforms.

 

Step 3: Orientation

After completing the admission procedures, you will also be invited to attend an Orientation Program, which is mandatory to attend for all new families along with the new students. This will be intimated in due course, closer to the start of the classes. 
 

Waiting lists

Due to overwhelming response and oversubscribed applications, we are sorry to see applicant names in waiting list in previous Academic Session.

Waiting lists at Ambassador School, Sharjah can be extensive, hence, parents are requested to reserve their ward’s seat at the earliest possible to avoid disappointments at later stages. The School may decide to close applications at any given time, prior to commencement of Academic Session from April.
Please note movement through the waiting lists can be a slow process. However, as soon as a seat becomes available, the admissions team will contact you immediately.

 

Admission Cancellation

THE ORIGINAL PASSPORT AND CPR CARD HAVE TO BE PRODUCED FOR VERIFICATION AT THE TIME OF SUBMITTING THE APPLICATION.

Since the school receives many more applications that available seats, a Draw is conducted to select applicants. An acknowledgement receipt for the Application along with a slip for the draw will be given. The Date of the Draw will be communicated when document verification is completed. The slip for the Draw needs to be deposited in appropriately marked boxes before leaving.

Applicants selected via the draw process will be intimated by the school. A list of successful applicants will also be displayed in the school on the appropriate day. Successful applicants need to collect their call letter intimating dates for Admission test and/or interview from the school office.

There is no Admission Test for LKG but there will be an interview with a Panel comprising of the Principal, Vice Principal and Director at the least. Both parents and the child must be present for the interview.

Applicants seeking admission to HKG and Grade 1 will need to appear for an Admission Test and then attend an interview with the Panel on the same day. The decision of the Principal will be final with regard to all matters related to admission.

2. Entrance Assessment
Once the completed Admission Form with the required documents is submitted and the application fee of RM100 has been paid, the applicant will be scheduled for an entrance assessment.

The assessment will be in the form of a written test comprising English Language and Mathematics that will last for one (1) hour. The purpose of the entrance assessment is to evaluate the capability of the applicant in both subjects, in particular, the competency of English Language so that the applicant can access the full curriculum which will be conducted in English.

All children will be assessed in their appropriate year group as follows:-

3. Interview Sessions

4. Admission & Registration

Fee Payment Guidelines
In the first month of every academic year, the Annual Fee has to be paid against Sports & Games, A.C., stationary and developments, along with the current month’s Tuition Fee and Bus Fee. Thereafter, the Tuition Fee and the Bus Fee have to be paid on or before the 10th of every month.
After the 10th, a late payment fine at the rate of 100 fils per day will be charged. If fees are not paid for a period of two months the defaulter’s name will be struck off the register and BD. 5/- will be charged if re-admission is granted. In such cases, all pending dues along with fees for the month of re-admission have to be paid.
All payments are to be made at the school office between 7:15 a.m. and 1:00 p.m. and a receipt should be obtained. The school will not be responsible for any claim of payment without a proper receipt.
Parents are requested to not send fees with small children. School authorities will not bear responsibility for loss of money sent through children and the parents alone will be fully responsible for any such loss.
Contrary to this rule, in case parents send the fees with their children, they must remit the exact amount at the counter and get a proper receipt. No money should be handed over to any employee of the School other than the cashier at the counter.
Students withdrawn during the term will be required to pay full fees for the remainder of the term.
In the case of an admission during the session, the full admission fee and other fees will be charged.
No reduction or refund of fees will be made on account of any holiday, leave or absence for any reason. Parents going on holiday with their children are required to pay tuition and transport fees in advance along with the leave application.
Fees once collected will not be refunded under any circumstances.
The result of the Annual Examination will not be declared until all pending dues are cleared.
Cost of books and other stationery are not included in the fees.
Defaulter’s fee will not be accepted without the late payment fine.
Part payments will not be accepted.

ADMISSION PROCEDURE
Admission form to be obtained from the office on the announced dates between 08:30 a.m. to  11:00 a.m. on all working days by paying the registration fee i.e. BD. 10.000.
Duly filled in Registration Form with all the necessary documents* to be submitted in the office on or before the given date.
After the verification, the candidate will be provided with the admission test date along with the portion for the concerned class.

The school is primarily intended for Indian children . All children are expected to follow the curriculum prescribed by the School. Application for admission should be made on the prescribed form by parents or guardians who will be responsible to the Head of the school for the pupil’s conduct , punctuality , regular attendance , progress in school and payment of fees. 

A child must be three years , as on 31st March, before he/she is admitted to the Lower K.G. No child who has not completed five years will be considered for admission to Class I. A corresponding scale of age is fixed for the successive classes.

A pupil may be given oral/written test at the time of admission. The decision of the school authorities regarding the entrance test shall be final.
